Exporting to Excel and PDF; sending a statement

Excel

Every answer has an Excel button under it. Tallycon asks where to save the workbook, remembering the folder you used last. The workbook has three sheets:

Sheet What is on it
Answer The question, the company and when it was read, the headline, the summary and the table, in rupees with real dates; the Total or Net row in bold, and how many vouchers stand behind each row
Vouchers Every voucher behind the answer, one per row, with its ledger lines, items, narration and the table rows that cite it; filtered and with the header frozen
Ledger lines One row for each debit or credit line of those vouchers, ready for a pivot table

Amounts are numbers, not text, so they add up in Excel and take your own digit grouping. To check an answer, total the Vouchers or Ledger lines sheet against the headline.

An Excel sheet with the question, the headline amount, the summary and the ageing table in rupees, its Total row set between a rule and a double rule
The debtors answer exported to Excel: the Answer sheet.

PDF

The PDF button saves the schedule as it is on screen, in the unit you picked (₹, lakh or crore), followed by "Vouchers read from Tally": each voucher once, under the first row that cites it. Pages are A4, with the company, the title and page numbers at the foot.

Use it for a file note or to send a working to a partner or a client. A long answer can run to many pages, at about 16 vouchers a page; for working papers with many vouchers, Excel is easier to use.

The GST review exports the same way, section by section.

A statement for the party

Ask for a party's statement and the answer carries a Statement PDF button for each party in it. For example:

  • "Statement of Gupta Agencies from 1 April to 30 September"
  • "Gupta Agencies ka statement bhejna hai, payment reminder ke saath"

The PDF is meant to be sent to the party:

  • your letterhead as recorded in Tally: the company name, address, PAN, CIN, phone, email and GSTIN;
  • the party's mailing name, address and GSTIN;
  • opening balance, debits, credits and closing balance;
  • the account, voucher by voucher, with the bills each line raised or settled and a running balance;
  • the bills still pending, with amount, adjusted and pending;
  • the amount on account, and the ageing.

It leaves out narrations, your other ledgers and anything internal to the answer.

Before it saves, Tallycon reads the statement from Tally again and checks it against Tally's own debit, credit and closing balance for the ledger. If they differ, it refuses to make the PDF rather than send a statement that does not agree with your books.

The statement is read again from Tally when you press the button, so it is greyed out, with the reason, when that cannot be done: Tally is not connected, the statement came from another Tally (or another of the office's Tallys), or its company is no longer loaded in Tally. A company that is loaded but not the open one still prints. Connect to that Tally, or load the company, and the button works again.

A message to go with it

Ask for one in the same question ("with a payment reminder", "draft a balance confirmation") and a message for the party appears under the summary, with a Copy button for your email or WhatsApp. It is written from the same answer's figures. Read it before you send it: when a party's receipts on account cover its pending bills, a confirmation fits better than a reminder.

From the owner's laptop

On a laptop paired with the office through remote access, Excel, PDF and statements work the same way. The office reads Tally and makes the file; it is saved on the laptop.
